Our engineering client is seeking a proactive and detail-oriented Administrative Assistant to join their team on a full-time, permanent basis. This is an exciting opportunity for an administrative professional who enjoys variety in their day, thrives in a fast-paced environment, and takes pride in being a reliable support to both leadership and internal teams.
Working alongside a collaborative and hardworking group, this role offers a mix of administrative coordination, office support, and process improvement responsibilities. The ideal candidate is someone who enjoys taking initiative, staying organized, and jumping in wherever needed to help keep operations running smoothly.
They are looking for someone who is comfortable working as an independent contractor and who values autonomy while still being a strong team player.
Duties and Responsibilities:
The key job functions are:
- Supporting day-to-day administrative operations to ensure efficiency and accuracy
- Providing clerical and administrative support, including filing, document preparation, and data entry
- Assisting with communication and coordination between internal teams, leadership, and contractors
- Preparing and formatting reports, presentations, spreadsheets, and other corporate documents
- Maintaining and updating company templates, policies, procedures, and administrative processes
- Supporting compliance-related administrative tasks and maintaining accurate records
- Coordinating meetings, scheduling, travel arrangements, and other administrative logistics
- Assisting with reception duties, office organization, supplies, and mail/courier coordination
- Maintaining confidentiality while handling sensitive company information
- Supporting team events and other office initiatives as needed
Education:
- Post-secondary education is considered an asset
Qualifications:
- Ability and willingness to work fully in-office
- Strong proficiency in Microsoft Word, Excel, PowerPoint, Outlook, and Teams
Experience:
- Minimum 2+ years of experience in an administrative or office support role required
Skills:
- Excellent organizational, time management, and communication skills
- Strong interpersonal skills with a collaborative, team-oriented mindset
- Proactive with the ability to anticipate needs before they arise
- Ability to manage multiple priorities while maintaining attention to detail and professionalism
- Demonstrated ability to work collaboratively within a team environment while also taking initiative independently.
Base Salary: $30-40/hr
- Salary based on experience
- Candidates must be comfortable working as an independent contractor.
Work Hours:
- Monday to Friday
- 8 hours per day
- Flexible shift scheduling available
Additional Notes:
- This opportunity does not include relocation. It will be the responsibility of the candidate should relocation be required.
