Our dynamic and highly regarded client is seeking an Operations/Office Administrator to join their growing team and become the heartbeat of a busy, membership-based not-for-profit organization within the energy and oil and gas sector, located in downtown Calgary.
Providing key administrative support to both office staff and members, the ideal candidate is someone with exceptional interpersonal skills who genuinely enjoys helping others and thrives in a role where no two days look exactly the same.
As the go-to person for the office, this individual will be a proactive problem solver with a natural ability to anticipate needs, keep things running smoothly, and contribute positively within a close-knit team. They will also play an important role in bringing people together through event coordination and planning, making previous experience organizing events a strong asset.

Duties and Responsibilities:
The key job functions are:
- Provide a warm and professional first impression by welcoming visitors to the office and directing them appropriately
- Maintain a clean, organized, and inviting reception and meeting room environment to ensure a positive experience for staff and guests
- Coordinate catering arrangements for meetings, events, and special functions as required
- Manage the ordering and inventory of office supplies to ensure the office remains well-stocked and running efficiently
- Assist with basic financial administration, including bank deposits, invoice reconciliations, receiving and tracking payments, and monitoring the general inbox
- Oversee incoming and outgoing mail, courier coordination, filing, photocopying, shredding, document archiving, and other day-to-day office administration tasks
- Process membership applications, renewals, and terminations with a high degree of accuracy and professionalism
- Create, maintain, and update membership records and files as needed
- Support event planning and coordination, including catering logistics, menu selection, name tags and attendee materials, company swag, handouts, and event preparation
- Provide general administrative support to staff and members, lending a hand wherever needed to keep operations running smoothly
- Take on additional projects and responsibilities as required in support of the team and organization
Education:
- High school diploma or equivalent required
- Post-secondary education in administration, business, office management, or a related field is considered an asset
Qualifications:
- Willingness and ability to work fully onsite in a downtown Calgary office environment
Experience:
- Minimum of 2+ years of administrative experience required
- Previous experience supporting or coordinating events is strongly preferred
- Experience within a related industry or not-for-profit environment is considered an asset

Base Salary: $50,000 – $60,000 per year
- Salary based on experience and qualifications
- Benefits package included
Work Hours:
- Monday to Friday
- 8:00am – 4:30pm (Monday – Thursday)
- 8:00am – 4:00pm (Friday)

- This opportunity does not include relocation. It will be the responsibility of the candidate should relocation be required.
